1. Agreement to Terms
By accessing or using AI Governance Hub ("the Platform"), you agree to be bound by these Terms and Conditions. If you do not agree, you may not use the Platform.
Beta users: If you are accessing the Platform under a beta invitation, these Terms apply alongside the Beta Participation Terms you accepted on registration. Where the Beta Participation Terms are more specific (for example, regarding confidentiality and intellectual property feedback), those terms take precedence during the beta period.
2. Service Provider
AI Governance Hub is operated by ITNextGen Limited, a company registered in England and Wales. Full company registration details (company number and registered office) are provided in our Privacy Policy.

3. Service Description
AI Governance Hub is a preparation tool designed to help any organisation deploying AI build structured governance covering UK GDPR, ICO AI guidance, the Equality Act 2010, and the EU AI Act.
Important Disclaimer: The Platform does NOT provide legal advice, certification, or compliance guarantees. Users remain solely responsible for their own regulatory compliance.
4. User Accounts
4.1 Account Creation
- You must provide accurate and complete information during registration
- You are responsible for maintaining the confidentiality of your account credentials
- You must be at least 18 years old to create an account
- One account per organization unless explicitly authorized
4.2 Account Security
You are responsible for all activities under your account. Notify us immediately at support@aigovernancehub.uk if you suspect unauthorized access.
5. Subscription and Payments
5.1 Pricing
Subscription fees are listed on our Pricing page. Prices are shown in GBP and are exclusive of VAT. Where VAT applies under UK law, it is calculated and added at checkout at the applicable rate.
5.2 Billing
- Subscriptions are billed monthly or annually in advance
- 14-day free trial available for new customers on paid plans
- Payment is processed by a PCI-DSS Level 1 certified payment processor
- Failed payments may result in service suspension after 7 days
5.3 Refunds
Refunds are available within 14 days of initial payment if you have not used the Platform substantially. Contact support@aigovernancehub.uk to request a refund.
5.4 Cancellation
You may cancel your subscription at any time via the Settings page. Your access will continue until the end of the current billing period. No partial refunds for mid-cycle cancellations.
6. Acceptable Use
You agree NOT to:
- Use the Platform for illegal purposes or to violate any laws
- Attempt to gain unauthorized access to our systems or other user accounts
- Upload malicious code, viruses, or harmful content
- Scrape, data mine, or reverse engineer the Platform
- Share your account credentials with third parties
- Misrepresent your identity or affiliation
- Use the Platform to send spam or unsolicited communications
Violations may result in immediate account suspension or termination without refund.
7. Intellectual Property
7.1 Our Content
All content, features, and functionality (software, text, graphics, logos) are owned by ITNextGen Limited and protected by UK and international copyright, trademark, and other intellectual property laws.
7.2 Your Content
You retain ownership of all data you upload (AI system details, assessments, documents). By using the Platform, you grant us a limited license to store, process, and display your content solely to provide the service.
8. Data Protection
Your use of the Platform is also governed by our Privacy Policy, which explains how we collect, use, and protect your personal information in compliance with UK GDPR.
9. Disclaimers and Limitation of Liability
9.1 No Legal Advice
IMPORTANT: AI Governance Hub is a PREPARATION TOOL, not a legal service. We do NOT provide legal advice, certification, or compliance guarantees. You should consult qualified legal professionals for compliance matters.
9.2 Service Availability
We aim for 99.5% uptime but do not guarantee uninterrupted or error-free service. The Platform is provided "AS IS" without warranties of any kind, express or implied.
9.3 Limitation of Liability
To the fullest extent permitted by UK law, ITNextGen Limited's total liability arising out of or in connection with these Terms — whether in contract, tort (including negligence), breach of statutory duty, or otherwise — will not exceed the total fees you paid in the 12 months before the claim arose.
Subject to that cap, we are not liable for indirect, incidental, special, or consequential damages; loss of profits, revenue, or business opportunities; or loss or corruption of data, except where caused by our negligence. We are not liable for a regulatory fine or enforcement action against you, unless it arises directly from our own material breach of these Terms.
Nothing in these Terms limits liability for death or personal injury caused by negligence, for fraud, or for any other liability that cannot be limited under the laws of England and Wales.
10. Indemnification
You agree to indemnify and hold harmless ITNextGen Limited from claims, damages, or expenses arising directly from your material breach of these Terms or infringement of third-party rights. This obligation does not apply where such claims arise from our own negligence or breach of duty.
11. Termination
We reserve the right to suspend or terminate your account at any time for:
- Violation of these Terms
- Fraudulent or illegal activity
- Non-payment of fees
- Extended account inactivity (180+ days)
Upon termination, you may request a data export within 30 days before permanent deletion.
12. Changes to Terms
We may update these Terms from time to time. Material changes will be communicated via email or platform notification at least 30 days in advance. Continued use after changes constitutes acceptance.
13. Governing Law and Disputes
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
